Administration Assistant

Contract - 6 months (to go perm)

JOB DESCRIPTION

My client who is a manufacturing business and a market leader in their field are looking for an experienced Administration Assistant for a 6 month contract period with a view to going permanent.

The main purpose of the role is to support the Customer Services manager.

To carry out duties to ensure the efficient day to day running of the customer services department.

Main duties include:

o Organise meetings.

o Preparing data reports for analyse and distribution to relevant departments.

o Customer communication; telephony and email

o Accessing joint mailbox to obtain customer orders

o Inputting customer orders onto ERP system

o Creating and sending repair quotes

o Raising jobs for engineers

o Informing engineers of jobs allocated to them; updating electronic diary and verbally.

o Build positive relationships with internal and external customers facilitating open communication.

o Assist others as required.

o Handle/forward customer enquiries and issues in a timely and professional manner via telephone, email or fax.

o Proactively report any delays with orders to customers.

o Report any customer issues or order delays to the Customer Service Manager.

o Ensure that processes are completed on time as per the department daily working routine.

JOB REQUIREMENTS

  • Educated to GCSE standard minimum.
  • Customer Service or Business related NVQ qualification(s) ideal.
  • Written and oral communication skills appropriate to dealing with operational and commercial issues with customers
    • Capability to understand the range of products within the market after training.
    • High level of keying data accurately into data base systems.
    • Familiar with PC based office IT.
    • Excellent customer services skills at an operating office level.
    • The ability to work in a team environment.

EXPERIENCE

  • Experience of working in a customer focused environment.
  • Experience of processing high volumes of data accurately.
  • Experience of working with ERP and PC based Office systems.
